Cohorts in one minute

A cohort is a group of participants going through one or more courses on a shared schedule. Cohort membership controls:
  • Which courses participants see.
  • Which phases are currently unlocked.
  • Which live sessions appear on their dashboard.
  • Which trainers can see their progress.
Permissions are two-layered: global roles (superadmin, trainer, user) plus cohort roles (trainer, leader, participant). The same user can hold different roles in different cohorts.

Setting up a cohort

Create the cohort

Admin → Cohorts → New. Give it a name, pick the course(s), and set the start date. Phases default to the course template; you can override.

Add participants

Two ways:
  • Bulk email invitations — paste a list, Campus sends one-time-code emails.
  • 6-digit invite code — generate a code and share it in the live session. Adding to the cohort and sending the invitation are decoupled: you can pre-load participants without spamming them, then send invites when ready.

Assign cohort trainers

Add yourself and any co-trainers from the team picker. Only assigned trainers see the cohort dashboard.

Schedule live sessions

Live sessions attach to a phase. They appear on the participant dashboard automatically and become joinable in the hour before start.

During the cohort

The cohort dashboard shows, per participant:
  • Lesson progress, with last-seen timestamp.
  • Reflection prompt responses (so you have something concrete to follow up on in the live session).
  • Assessment scores and Henrik transcripts.
  • Survey responses, scoped to this cohort.
Surveys are scoped per cohort. The same survey reused across cohorts produces separate response sets — you will never see one cohort’s answers mixed into another’s CSV export.

Progress & reporting

Beyond the cohort dashboard, superadmins have platform-wide progress views:
  • /admin/progress — total learners, total courses, and weighted average completion, with a per-course table split into English and German columns (enrolled / started / completed / average %), plus a cohort section grouped by phase.
  • Course progress (/admin/courses/[id]/progress) — every enrollee with a progress bar and percentage, broken out per language, plus a badge showing each learner’s effective course language. Expand a learner to see their per-language lesson grid.
  • User detail (/admin/users/[id]) — a learning-progress card listing every course that user has touched, with progress and a link to the cohort.
From a cohort’s member list you can export participants — copy emails to the clipboard, copy as a spreadsheet, or download a CSV. The export respects your current selection and filters.

Assessments

Assessments are scored automatically and recorded against the participant. If a participant already holds the credential from a prior cohort, Campus shows them an “already earned” notice and offers a practice retake — no duplicate certificate is issued. Each credential is one of two types, which you set on the course: a certificate (full 30-question exam) or a lighter award (10 questions); both pass at 70%. The exam stays locked for a participant until they have completed the course’s lessons — you can unlock it early from the cohort if someone needs it. You can review any assessment transcript from the cohort dashboard. Transcripts include Henrik’s clarifying replies and the participant’s responses.

Closing out

When the cohort ends:
  • Certificates are auto-generated for participants who passed.
  • Participants keep access to course materials for the period set on the cohort.
  • Surveys close on the configured date; the CSV export at /admin/surveys/export is the source of truth.
Do not delete a cohort to “clean up” — historical progress and assessment records depend on it. Archive instead.
